This Privacy Guideline applies to data and information submitted in application to the Thesis Grant Initiative of the IEEE Systems, Man, and Cybernetics Society (IEEE SMCS).
Privacy Statement and Guidelines for IEEE SMCS Thesis Grant Initiative
IEEE SMCS aims to ensure that Thesis Grant applicants receive the information, content, and experiences that matter most to them. IEEE SMCS is committed to protecting the privacy of information it receives from its members, customers, volunteers, and other contacts as part of the Thesis Grant application and decision process as well as associated transfer processes of grant amount that apply.
What information do we collect?
IEEE SMCS collects the following personal data regarding the Thesis Grant application:
-Applicant name and contact information (address, e-mail, telephone);
-Copies of identification documents (IEEE Member card, Student ID card);
-Age (or date of birth);
-Information about student status (university, supervisor’s name, student degree program type – BSc/BE, MSc/MS, PhD -, Thesis title);
-IEEE Member Number;
-Thesis work information (Title, topic, date);
-All supporting documentation (e.g., recommendation letter, CV, motivation letter, etc.) directly connected to the application to the IEEE SMCS Thesis Grant;
-Filled IEEE documents (e.g. W8/W9 reports, Wire transfer / ACH information) which are needed to transfer the amount of the grant.

IEEE SMCS uses (and, where specified, shares) your personal information for the following purposes.
Applicant data is applied in the IEEE SMCS Thesis Grant application evaluation process.
Applicant data is applied to reach and inform you about the evaluation of IEEE SMCS Thesis Grant.
Applicant data is applied to reach and inform the applicant about events at annual SMC conferences via different communication channels.
